Calendar Integration
BuildBetter supports Google Calendar, Microsoft Outlook/Office 365, and standard iCal/ICS calendar formats. For optimal performance, we recommend using Google Calendar or Microsoft Outlook integration.
No. BuildBetter only reads your calendar data to identify meetings - it never creates, modifies, or deletes any calendar events. The calendar integration is read-only.
BuildBetter automatically scans the description/notes section of calendar events for meeting links from supported platforms (Zoom, Google Meet, Microsoft Teams, etc.). For best results, ensure your meeting invites include the conferencing links.
Yes. You can choose which calendars BuildBetter monitors, and you can set up rules to exclude certain meetings based on keywords, participants, or time periods.
Meeting Assistant
The Meeting Assistant uses the conferencing links found in your calendar events to join meetings as a participant. It works with Zoom, Google Meet, Microsoft Teams, and other supported platforms.
Yes. The Meeting Assistant appears as a regular participant in your meetings with the name and avatar you configure. This ensures transparency about recording.
By default, the Meeting Assistant can announce itself at the beginning of meetings to notify participants of recording. This behavior is customizable in your settings.
The Meeting Assistant will attempt to rejoin automatically. If the disconnection is brief, recording continues seamlessly. For longer disconnections, a partial recording is saved and processed.
Yes. You can access Meeting Assistant controls from the BuildBetter dashboard during active meetings to pause, resume, or stop recording as needed.

BuildBetter records audio in high-quality formats optimized for speech recognition and clarity. The exact specifications depend on the meeting platform and connection quality.
Yes, BuildBetter can record video content including participant cameras and screen shares, but this is configurable. You can choose audio-only recording if preferred.
Privacy and Compliance
BuildBetter provides several consent mechanisms:

However, compliance with local recording laws remains your responsibility.
Access to recordings is controlled by your organization’s permission settings. By default, only the meeting organizer and specifically designated individuals can access recordings. Administrators can configure organization-wide access policies.
Retention periods are configurable based on your organization’s policies. Default retention is 90 days, but this can be adjusted from 7 days to indefinite storage depending on your needs and compliance requirements.

Troubleshooting
This could occur for several reasons:

- Meeting link might be missing or in an unrecognized format

- The bot might have reached connection limitations
Check your settings and ensure the meeting platform is properly connected.
This can happen when:
- Participants join after recording starts
- Participants use dial-in instead of the web interface
- Network issues affect connection quality
- Participants have very low speaking volume
For best results, ensure all participants join using the web interface and speak at normal volume.

- Verify your calendar permissions are still valid
