Setup Instructions

Prerequisites

  • An active BuildBetter account with Microsoft Teams integration enabled
  • Microsoft 365 account with Teams access
  • Admin permissions (for organization-wide setup)

Connecting Your Account

  1. Go to Settings → Integrations in your BuildBetter dashboard
  2. Select Microsoft Teams from the available integrations
  3. Click Connect and authorize BuildBetter to access your Microsoft account
  4. Follow the authentication prompts to complete the connection

Setting Up Recording Rules

Once connected, you can configure when and how the BuildBetter bot joins your Teams meetings:

  1. Navigate to Settings → Recording Rules
  2. Create a new rule specifically for Teams meetings
  3. Configure your preferences:
    • Meeting title keywords (optional)
    • Participant email domains
    • Bot joining time (before or after scheduled start)
    • Recording visibility settings

Usage

Scheduled Recordings

When you schedule a meeting in Outlook or Teams, the BuildBetter bot will automatically join based on your recording rules.

Manual Recording

To record an ongoing Teams meeting:

  1. Go to your BuildBetter dashboard
  2. Click + Record button
  3. Enter the Teams meeting URL
  4. Select Join Now

Troubleshooting

Bot Not Joining Meetings

  • Verify your Microsoft account connection in BuildBetter settings
  • Check if your recording rules exclude the meeting
  • Ensure your Microsoft 365 account has the necessary permissions

Permission Issues

If participants cannot see the bot:

  • Ask the meeting organizer to admit the bot from the waiting room
  • Verify organization settings allow external participants

Limitations

  • Microsoft Teams recordings require the Teams desktop client (not supported in browser-only)
  • Some features may be limited depending on your Microsoft 365 license
